Event planning quotes can confuse clients because the planner's fee is separate from what the event itself will cost. The quote should make that clear from the first line: this is the price of your time, expertise and coordination, while venue, catering, flowers and music are paid separately. Then describe the level of service, whether full planning from the first budget meeting, partial planning or day-of coordination, and list what's included in each: number of meetings, vendor research, timeline creation, budget tracking, rehearsal and event-day hours. Planners price in different ways (flat fee, hourly or percentage of the event budget), and the quote should name yours. Spell out how changes in scope affect your fee to avoid tension later.
Does the planner's fee include vendors?
Usually not. The planner's quote covers planning and coordination services. Vendor costs are budgeted and paid separately, unless the planner explicitly offers a package that includes them.
What's the difference between full planning and day-of coordination?
Full planning starts months ahead and includes budget, vendor selection and design. Day-of coordination usually starts a few weeks out and focuses on the timeline and running the event.
Why do planners charge a percentage of the budget?
Larger budgets often mean more vendors, decisions and coordination. Some planners prefer flat fees for transparency; either way, the quote should explain the method.
