Calculators, receipts and guides that go with this estimate.
Car owners are used to being surprised at the counter, which is exactly why a written auto repair estimate builds trust. It should start with the vehicle: year, make, model, mileage and VIN, so there is no confusion later about which car the price applies to. Then separate parts from labor. Parts are listed with their type (OEM, aftermarket or used) and labor is shown as hours times your rate, often based on a standard labor guide. Diagnostic time deserves its own line, because finding the problem is real work even when the fix is quick. Many states have rules about written estimates and getting the customer's approval before exceeding them, so check your state's rules and build a clear 'we'll call you first' line into every estimate.
Can the final bill be higher than the estimate?
It can, but only with the customer's approval in most cases. Many states require shops to get authorization before going over the written estimate by a certain amount, so check your state's rules and always call before doing extra work.
Should I charge for diagnostics?
Most shops do, because tracking down a fault can take longer than the repair. List it as its own line. Some shops apply the diagnostic fee toward the repair if the customer goes ahead, which makes the charge easier to accept.
Do I need to say whether parts are OEM or aftermarket?
It's good practice and helps the customer compare estimates. OEM parts come from the vehicle maker; aftermarket parts are made by other companies and are often cheaper. Some states also have disclosure rules on used or rebuilt parts.
