Cash leaves no paper trail, which is exactly why a cash receipt matters. Whether you're selling a used car, collecting for a service, accepting a payment at a market stall or receiving money for a private sale, a receipt is the only proof that the money changed hands. For the person who paid, it protects against being asked to pay twice. For the person who received it, it's a record for bookkeeping and taxes. A cash receipt should be simple but complete: the date, both names, what the payment was for, the amount (some people also write it out in words to prevent changes), and a signature or name of the person who received the money. Number your receipts and keep a copy of each one.
Is a handwritten cash receipt valid?
A handwritten receipt can serve as proof of payment between the parties. A clean, numbered PDF is easier to read, store and send, and looks more professional.
Should I write the amount in words?
It's a good habit for larger amounts. Writing the amount in words alongside the figure makes it harder to alter the receipt later.
Do I need a receipt for a private sale?
It's not always required, but it protects both buyer and seller. For items like vehicles, other documents such as a bill of sale and title transfer may also be required. Check your state's rules.
