Estimates, receipts and guides that go with this invoice.
Photography invoices have a particular timing problem: once the client has the full gallery, there's little reason to hurry with the payment. That's why many photographers take a retainer to book the date and set the balance as due before the final images are delivered. The invoice should show both: the retainer as already received, then the balance. List what the client is paying for in terms they understand, such as hours of coverage, number of edited images, a second shooter, travel and any rush fee. For commercial work, the usage license matters as much as the photos, so describe it, for example web and social use for one year. Extra images, prints or albums ordered after the shoot can go on a separate invoice.
Should I deliver the photos before the invoice is paid?
Many photographers share a preview set and deliver the full gallery once the balance is paid. Whatever you choose, state it in the terms so the client knows in advance.
How do I show a retainer on a photography invoice?
Enter it as the deposit received. The invoice then shows the full total, the retainer credited and the balance due.
Do I include image licensing on the invoice?
For commercial work, yes. A short description of the license, such as social media and website use for 12 months, avoids disagreements about how the images can be used.
Yes. Make and download as many as you want, no signup. Free PDFs carry a small Presupuestado mark; Pro removes it and adds your logo.
