Estimates, receipts and guides that go with this invoice.
Video production projects have three phases, and the invoice works best when it follows them: pre-production (planning, scripting, location scouting), production (shoot days, crew and equipment) and post-production (editing, color, sound and graphics). Bill shoot days by the day and post-production by the hour or by deliverable, and list the crew roles if you hired freelancers. Rental gear, drone fees, location costs and licensed music go on their own lines, since they are real outside costs. Revisions are where budgets drift, so say how many rounds were included and bill extras separately. Many producers take a deposit to book the shoot date and invoice the rest on delivery, sometimes sharing a watermarked cut until the final invoice is paid.
How should I structure a video production invoice?
Follow the phases of the project: pre-production, production and post-production. Each phase gets its own lines, which makes a large total easier to read and approve.
Do I charge the client for music licenses?
Yes, usually as a pass-through cost on its own line. The client also needs to know the license terms, for example whether the track can be used in paid ads.
When should the final payment be due?
Many producers invoice the balance on delivery of the final cut and release the master files once it's paid. Agree on this when you book the project.
Yes. Make and download as many as you want, no signup. Free PDFs carry a small Presupuestado mark; Pro removes it and adds your logo.
